This policy explains what personal information Sunbase collects, why we collect it, and what we do with it. We've written it in plain English. If anything is unclear, contact us using the details at the end.

Who we are

Sunbase is an independent referral service. We introduce businesses that are interested in solar to PPA providers who fund, install, own and maintain solar systems. We do not assess sites, provide quotes, or install anything ourselves — the provider does all of that directly with you.

For the information we collect through our enquiry form, Sunbase is the "data controller." That means we're responsible for how that information is handled at the point you give it to us.

What information we collect

When you complete our enquiry form, we collect only:

• Your name
• Your business name and address
• A phone number or email address so you can be contacted
• Your approximate yearly electricity usage (in kWh)

We do not ask for or store your utility bill, your energy account number, your MPAN, or your tariff details. If a provider needs your bill, you give it to them directly — it does not come to us.

How we collect it

We collect this information in one of two ways:

• You enter it into the enquiry form on our website, which sends it to us by email.
• You contact us directly (for example by email or phone) and give it to us.

Our website does not store your information in a database. It simply passes your form submission to us by email.

Why we use it, and our lawful basis

We use your information for a single purpose: to introduce you to a solar PPA provider who can contact you about solar for your business.

Our lawful basis for this is your consent — you agree, by ticking the box on our form, to your details being passed to a provider. Where you contact us directly, our basis is our legitimate interestin responding to your enquiry and making the introduction you've asked for.

You can withdraw your consent at any time by contacting us (see below). Withdrawing consent does not affect anything done before you withdrew it.

Who we share it with

We share your details with a solar PPA provider so they can contact you. We only do this with your agreement.

We do not sell your information to anyone, and we do not share it with anyone other than the provider we introduce you to, unless we are required to by law.

Please note that once a provider contacts you, they handle your information under their own privacy policy, and they become responsible for it from that point. We'd encourage you to read the provider's privacy policy when they get in touch.

How long we keep it

We keep a simple record of your enquiry — your contact details and the basic information above — so we can manage the introduction and follow up if needed. We remove details we no longer need, and we clear inactive enquiries periodically.

We do not keep copies of utility bills, because we don't collect them.

How we keep it safe

We hold your information in our email account and in a private record. We protect it with measures appropriate to a business of our size, including secured accounts and access controls. We keep only the limited information described above, which reduces the risk to you if anything were ever to go wrong.

Your rights

Under UK data protection law you have the right to:

• Ask us what personal information we hold about you
• Ask us to correct information that is wrong
• Ask us to delete your information
• Withdraw your consent to us using your information
• Object to us using your information, or ask us to restrict how we use it
• Ask for a copy of your information in a portable format
